RIGHT OF ACCESS

By filling in our form, you are requesting one or more personalized quotes for your corporate travel projects. In this context, we may collect :

Your first name

Your name

Your business telephone number

Your e-mail address

The name of the company or organization involved in the project

Various information about your project: interests, travel dates, destination(s), number of participants, budget, etc.

Telephone exchanges

Once you have formulated your travel project, on one of our websites and/or by email and/or by telephone and/or by any other means of contact, we are likely to call you back to refine our understanding of your needs, and thus gather more information about the project, such as its context, constraints, challenges, essential/optional elements, destinations to avoid, etc.

Browsing our website

When you access our services, we automatically record usage data.

In particular, we carry out audience measurement (via the Google Analytics service), and store, for example, the total number of visits, the number of pages viewed, the activity of users on our services or their frequency of return. We use connection identifiers (including mobile device identifiers), cookies and IP addresses to measure the activity of our services.

When you confirm a trip with Aylo Voyages, we collect further information about participants, including first names, surnames, scans of identity documents (including date of birth and expiry date), dietary requirements, allergies, shoe sizes and professional e-mail addresses.

The information collected depends on the content of the program and changes with each project: we limit ourselves to the minimum necessary to best organize your trip.

3. USE OF YOUR DATA

We use your data to provide you with our services, and in particular :

Organizing your trips :

Customer relations: throughout our business relationship, members of our team may contact you by telephone and/or email and/or post and/or in person and/or by video-conference in order to clarify your request. The aim of this approach is to help us understand your needs as fully as possible, so that we can provide you with the most appropriate answers and solutions.

Sales proposals: we use all the data collected to send you quotes and/or promotional communications that best meet your expectations.

Organization of your trips: as part of the organization of your trips, we work with various service providers who require information about participants in order to provide their services (airlines, hotels, activity providers, local agencies, insurance companies, etc.). For organizational and/or regulatory reasons, and only in these two cases, some of your data may be communicated to these service providers.

The data collected is never sold to our commercial partners. In the same way, our commercial partners undertake not to re-use the data transmitted for commercial purposes.

Improving our services :

For the purposes of continuous improvement, the data collected via our services (website in particular) may be analyzed to produce statistics and marketing analyses, in order to understand how you use our services and how to improve our users' experience.

Legal obligations :

Finally, we may process your data for evidential purposes and to comply with our legal obligations (such as your identity documents).

Aylo Voyages is careful to provide its service providers and subcontractors with the minimum data required to guarantee proper completion of the services expected: each service provider therefore does not receive the same information.

The data we collect may be transferred outside the European Union. In this case, we ensure that the transfer is made to countries recognized as providing an adequate level of protection for your personal data, or on the basis of appropriate safeguards provided by law.

In order to comply with our legal obligations, your personal data may also be passed on to authorized administrative and judicial authorities, only upon judicial request.

5. DATA CONTROLLER

For personal data collected in connection with the use of our services, the data controller is Aylo Voyages, a legal entity represented by Mr Aymeric Laurent, its legal representative, in his capacity as Managing Director.

As the party responsible for processing the data it collects, Aylo Voyages undertakes to comply with the legal provisions in force. In particular, it is the responsibility of Aylo Voyages to establish the purposes for which the data collected is processed, to provide its customers, once their consent has been obtained, with full information on the processing of their personal data, and to maintain an accurate register of such processing. Whenever Aylo Voyages processes personal data, it takes all reasonable steps to ensure that the personal data is accurate and relevant to the purposes for which it is processed.

6. RIGHT OF ACCESS, RECTIFICATION AND OPPOSITION

In accordance with current European regulations, users of Aylo Voyages services have the following rights:

Right of access (Article 15 RGPD) and rectification (Article 16 RGPD), updating, completeness of user data right to block or delete user personal data (Article 17 RGPD), when they are inaccurate, incomplete, equivocal, outdated, or whose collection, use, communication or storage is prohibited

The right to define the fate of user data after their death and to choose to whom Aylo Voyages shall communicate (or not) their data to a third party designated by them.

As soon as Aylo Voyages becomes aware of a user's death, and in the absence of instructions from the user, Aylo Voyages undertakes to destroy the user's data, unless it needs to be kept for evidential purposes or to comply with a legal obligation.

In this case, the user must indicate the personal data he would like Aylo Voyages to correct, update or delete, identifying himself precisely with a copy of an identity document (identity card or passport).

Requests for the deletion of personal data will be subject to the obligations imposed on Aylo Voyages by law, in particular as regards the retention or archiving of documents.

Finally, users of Aylo Voyages may lodge a complaint with the supervisory authorities, in particular the CNIL (https://www.cnil.fr/fr/plaintes).

7. SHELF LIFE

Account data (identity, electronic contact details, service usage history, etc.) is kept for 3 years from the end of the commercial relationship;

Documents and accounting vouchers are kept for 10 years, as accounting proof;

Participants' personal data is kept for a period not exceeding 3 months after the end date of our services, as set out in our contracts;

Telephone conversations with our professional customer support are kept for a maximum of 6 months.

8. SECURITY OF YOUR DATA

We protect your information using physical, electronic and administrative security measures. Our safeguards include firewalls, physical access controls to our data centers and authorization controls for information access.

9. INCIDENT NOTIFICATION

Despite our best efforts, no method of transmission over the Internet and no method of electronic storage is completely secure. We therefore cannot guarantee absolute security. Should we become aware of a security breach, we will notify the users concerned so that they can take appropriate action. Our incident notification procedures take account of our legal obligations, whether at national or European level. We are committed to keeping our customers fully informed of all matters relating to their account security, and to providing them with all the information they need to help them meet their own regulatory reporting obligations.

No personal information of the user of the Aylo Voyages site is published without the user's knowledge, exchanged, transferred, assigned or sold on any medium whatsoever to third parties. Only in the event of the purchase of Aylo Voyages and its rights would the said information be transmitted to the eventual purchaser, who would in turn be bound by the same obligation to preserve and modify data vis-à-vis the user of Aylo Voyages services.

12. APPLICABLE LAW AND JURISDICTION
